Med Spa Manager

Full-Time Office Manager (Med Spa) – Aesthetics & Wellness

Oum MedSpa | Bentonville, AR

Oum MedSpa is a new luxury medical spa opening in Bentonville, Arkansas, offering advanced aesthetic treatments alongside a curated wellness circuit rooted in functional medicine and whole-body health.

We are seeking a highly organized, client-focused Full-Time Office Manager to join our founding team. This role is central to the success of the spa — overseeing daily operations while also helping guide clients through our wellness circuit and overall experience.

Candidates with experience as an aesthetician, injector, or in medical aesthetics/wellness are strongly encouraged to apply.

• $22–$30/hour (based on experience)

Position Overview

The Office Manager will oversee daily operations, ensure a seamless luxury client experience, and play a key role in executing Oum MedSpa’s wellness circuit.

This is an ideal role for someone who thrives in a dynamic environment and enjoys both operational leadership and direct client interaction.

Key Responsibilities

Operations & Leadership

• Oversee daily spa operations and front desk management
• Manage scheduling, client flow, and team coordination
• Maintain inventory, supplies, and product ordering
• Ensure cleanliness, organization, and compliance standards
• Assist with hiring, onboarding, and staff training
• Monitor quality and appropriateness of medical care
• Assist with clinical patient complaints
• Provide clinical performance improvement guidance and support
• Plan, direct and supervise all activities of the medical services
• Supervise and collaborate with nurse practitioners, physician assistants, and registered nurses

Biohacking Circuit Execution

• Guide clients through the Biohacking circuit experience
• Educate clients on available wellness services and benefits
• Support implementation of functional medicine and wellness offerings
• Ensure a calm, seamless, and elevated wellness experience
• Encourage participation in memberships and wellness programs

Client Experience

• Deliver a polished, high-touch luxury client experience from check-in to checkout
• Build strong client relationships to drive retention and referrals
• Handle client communication, questions, and concerns professionally

Sales & Growth

• Drive retail product sales and treatment enhancements
• Promote wellness memberships, packages, and services
• Support marketing initiatives (social media, events, promotions)
• Track daily performance and support revenue goals

Clinical Support (If Licensed)

• Perform aesthetic or skincare treatments (if licensed in Arkansas)
• Assist providers with patient flow and treatment coordination

Qualifications

• Experience in med spa, aesthetics, wellness, healthcare, or hospitality management preferred
• Strong organizational and leadership skills
• Excellent communication and client service abilities
• Sales-minded and comfortable recommending services and products
• Passion for wellness, aesthetics, and client experience
• Experience with booking/POS systems is a plus
• Licensed aesthetician or injector is a strong plus (not required)
• Professional, detail-oriented, and proactive

Schedule

• Full-time (approximately 30-40 hours per week)
• Must be available for some evenings and weekends
• Med Spa hours Tuesday thru Saturday

90-Day Introductory Period

All new hires will complete a 90-day introductory (probationary) period. During this time, performance, cultural fit, and overall role alignment will be evaluated. Upon successful completion, employees may become eligible for expanded responsibilities, additional incentives, and growth opportunities within Oum MedSpa.
